Dear Annie,
RE: Professional Conduct of Mr. Always Right
Employee, – Abc Inc.
I am writing to thank you for your assistance and attention to my concerns regarding the professional conduct of Mr. (Always Right), employee for (Abc Inc). located at ( 666 FarFarAway Road, West, Eating Centre, Main Floor, Toronto, Ontario. Their office telephone number is (416) 277-xxxx.)
I am the ( employee ) for (xxxx Corporation), known as ( Square One ) a commercial development comprised of (two xxxx towers) and consisting of ( 1000 suites). We are located at (100 & 120 Square One, Toronto, Ontario) and my business telephone number is ((xxx) 666-6666).
As discussed, I received a telephone call a couple of weeks ago from an owner who lives in one of these towers regarding a for sale advertisement posted in the (xxxxx Stars). The advertisement suggested that the solarium in these units could be used as a third bedroom. The owner then proceeded to inform me that he, on more than one occasion, left messages for the broker to contact him. When he did not receive a response, he decided to explain to his assistant as to why he was concerned. Mr. Right’s assistant listened and assured the unit owner that she would express his concerns to Mr. Right.
The following week the advertisement again appeared in the newspaper without change. The owner then contacted me and asked if I could contact the (xxxx company) to request that he not word his ad in this way and I agreed to. Having many years experience in (xxxx industry) and as well as being a (xxxx agent )in the past, I did not feel the request to be an unreasonable one.
I called Mr. Right at his office and began to explain my reasons for calling. He immediately interrupted by saying that I should tell owners to mind their own business. In my opinion, his attitude was very unprofessional and I was shocked at his response considering he was talking to the public. I could see that Mr. (Right) did not have any respect for public opinion and certainly could not be receiving a lot of referral business with that kind of arrogant behavior. I requested that he co-operates with me and simply (re-words the advertisement). He said that I have absolutely no authority to request that and that he has no intention of changing anything. At this point, I could see that I was obviously wasting my time and decided to end the conversation. I did suggest to Mr. Right however, that as a (manager for a xxxx corporation), I did have authority to protect the interest of (myself) and to take the necessary actions to prevent anyone from making comments that could be considered false or misleading about the intended use of the (individual units).
I kindly request that your office investigate Mr. Right’s personal conduct when dealing with the public and insist that he be informed to change (this advertisement) to properly reflect (the use of the solarium). I believe that a formal written apology would also serve to benefit Mr. Right’s reputation (with the Management and Board of Directs of xxxxx Corporation).
In closing, I look forward to your response and I have enclosed a copy of the advertisement from (xxxx News) as requested for your convenience.
Yours truly,
Iamgood Myname,
